Privacy Policy
Effective date: 7 October 2026
1. Introduction
Terramine Heavy Equipment Trading L.L.C ("Terramine", "we", "us") respects your privacy and is committed to protecting the personal data you share with us through terramine.ae and the Terramine customer cabinet (the "Site"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
By using the Site, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Site.
2. Information we collect
Account information: name, company name, email address, phone number and password when you register for a customer cabinet.
Enquiry and request data: the parts, machines, brands, models, VINs, quantities and messages you submit through our request forms, quick-request banner or request list ("cart"), including files attached in website chat and any photos you choose to send us via WhatsApp.
Website chat: your chosen language, name, email, optional company, messages and attachments. The email you provide is used for follow-up and does not give access to an existing customer account.
Technical logs: when you use the Site our servers record your IP address, the pages and addresses requested, your browser type and any errors, to keep the Site secure and working. We do not use analytics or advertising tools to follow you around the Site or elsewhere.
We do not knowingly collect payment card details on the Site — payment, where applicable, is arranged directly with our sales team.
3. How we use your information
To create and manage your customer cabinet, and to let you track the status of your requests and saved items.
To respond to enquiries, prepare quotations, and fulfil parts, sales, rental or service requests.
To communicate with you about your account or requests, including via email or WhatsApp.
To maintain, secure and improve the Site.
4. Sharing of information
We do not sell your personal data. We share information only where necessary: with Amazon Web Services, which hosts the Site, its databases and our e-mail delivery; with language-model providers that process chat messages and contact details to generate replies; with WhatsApp/Meta when you choose to contact us through WhatsApp; and where required by UAE law or a valid legal request.
The Site's fonts are served from our own domain, so opening a page does not send your address to a font provider.
5. Data storage and security
Account and request data is stored in our managed databases at Amazon Web Services in the United States; e-mails to you are sent through Amazon's e-mail service in Ireland. If you are in the European Union or the United Kingdom, this means your data is transferred outside it; we rely on our providers' standard contractual safeguards for such transfers. Server-side access controls restrict customers to their own data and staff to their authorised roles. Website chat uses a separate random session token in an HttpOnly cookie; knowing an email address does not grant access to past conversations. No method of transmission or storage is 100% secure, but we take reasonable technical and organisational measures to protect your data.
6. Cookies and local storage
The Site sets two cookies, both needed for it to work: "tm_session" keeps you signed in to your account (for up to 30 days, or until you sign out), and "tm_chat" keeps your website chat available in the same browser (for up to seven days). Neither is used for analytics or advertising, and the Site sets no third-party cookies, so it does not ask for consent; a short notice says so on your first visit.
The browser's own storage keeps your request list, your language, currency and country, and that you have seen the cookie notice. It stays on your device; you can clear it in your browser at any time.
Chat requests and attachments are also recorded in our internal enquiry system for follow-up; expiration of the browser session does not delete the enquiry.
7. Your rights
In your customer cabinet, under Profile → Your data, you can correct your details, download everything the Site keeps about your account as one file, and delete your account yourself. Deleting it removes your sign-in, profile and saved parts at once and signs you out everywhere; the requests you sent and our letters about them stay with us as business records (see Data retention), no longer linked to an account.
If you are in the European Union or the United Kingdom, you also have the right to access, correct, erase, restrict or object to the use of your personal data, and to receive it in a portable form. We use your data to answer and fulfil your requests (to take steps at your request and perform a contract), to keep the Site secure (our legitimate interest), and to meet our legal obligations. You may complain to your local data protection authority. For anything the cabinet does not do, such as a copy of our letters or chat, write to sales@terramine.ae; we answer within one month.
8. Data retention
We keep your account until you delete it. Requests, quotations, orders and the letters about them are business records: we keep them for as long as UAE accounting and tax law requires, and then delete or anonymise them. Technical logs are kept for 30 days, for security only.
9. Children
The Site is intended for business use by adults and companies operating in the construction and mining equipment sector. We do not knowingly collect data from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date below.
